Communicating with colleagues and clients

A Friendly Introduction

You have started at your new job. During a break, a colleague introduces themselves and starts chatting about recent tasks. They pause and ask you about your role and what excites you about the job.

How do you respond?

Respond with a one-word answer and avoid eye contact.

Change the subject to a topic you’re more comfortable with.

Smile, introduce yourself briefly and share one thing you are excited about.

Giving Clear Instructions

A colleague asks you to help them with something you’re familiar with, but they don’t understand how to start. They ask, “Could you explain what I should do first?”

How do you explain the task?

Explain the task in one long explanation without pausing.

Suggest they ask someone else for instructions.

Break it into simple steps and check if they understand each step.

Handling Constructive Criticism

Your manager or colleague provides feedback on your work, suggesting a few changes. They emphasize that the work is good but could be improved with adjustments.

How do you respond to the feedback?

Feel upset and explain why you think your way is better.

Nod silently and make the changes without asking questions

Thank them for the feedback and ask clarifying questions to ensure you understand.

Resolving a Misunderstanding

There is a misunderstanding with your colleagues, and they are upset. You realize the misunderstanding happened because of unclear expectations.

How do you address the situation?

Explain why the misunderstanding wasn’t your fault.

Apologize briefly and move forward without addressing the issue.

Apologize for the confusion, clarify the expectations, and propose a solution.

Asking for Help

You’re struggling with a new task and aren’t sure how to complete it. You need to approach your manager or a colleague for help.

How do you ask for assistance?

Avoid asking for help and try to figure it out on your own.

Talk to your manager, roughly mentioning you’re struggling but not explaining the issue.

Approach your manager/colleague, explain the situation, and ask for specific guidance.

Handling Difficult Client Interaction

You interact with a client, who is frustrated about something. They start the conversation with an irritated tone, and you need to respond calmly to lighten the situation.

How do you respond?

Defend yourself and explain why the delay wasn’t your fault.

Apologize but suggest they speak to someone else about the issue.

Acknowledge their frustration, apologize sincerely, and provide an update on their issue.
